Booking Terms & Conditions Flinders Island Eco Escape

 

Please read these Terms and Conditions carefully.

All bookings made through this website, our booking engine, or direct with Flinders Island Eco Escape (FIEE) are subject to these Terms and Conditions.

1. Payment Terms

1.1 Accepted methods of payment when booking online are by Visa or Mastercard (2% surcharge applies) , or by Visa, Mastercard (2% surcharge applies) or internet banking when booking direct with FIEE. 

1.2 Online and Direct Bookings:  Full payment will be requested 30 days prior to your scheduled day of arrival or, if your booking is made within 30 days of your scheduled day of arrival, at the time of booking.

1.3 If any payment is not received by the due date, FIEE reserves the right to cancel the booking and any monies paid by you in relation to your booking will be forfeited to FIEE.

2. Cancellation Policy

If a booking is cancelled the following charges apply:

2.1 Up to 30 days prior to your scheduled check-in date: a 30% cancellation fee will apply, unless re-booked within 12 months of cancellation date.  Amendments are subject to availability and applicable pricing. A $50.00 amendment fee applies.

2.2 Within 30 days of your scheduled check-in date: a 100% cancellation fee will apply.

2.3 If you do not show up for your booking or terminate your booking early after you have checked in you will be charged a 100% cancellation fee.

2.4 IMPORTANT: We strongly suggest that you book travel insurance to cover last minute cancellations, including those due to family illness, travel disruption, extreme weather or fire events, and other unforeseen circumstances. Our property is unable to refund in the event of last minute cancellations.

2.5 NOTE: Cancellation policies apply only to bookings made direct with our property – if you book through a third party travel platform please check their individual cancellation policy as this will take precedence.

3. Early Check-in

3.1 Standard check-in time is 12:00pm.

3.2 Early check-in must be arranged with the property Manager at the time of booking, and is subject to availability.

3.3 If you wish to guarantee your ability to check-in prior to 12:00 noon you must book an additional nights stay and pay the applicable rate for that additional night.

4. Late Check-Out

4.1 Standard check-out time is 11:00am. This is to enable the property to be cleaned prior to departure. Guest are most welcome to depart later in the day and make use of the island, however the house will need to be vacated.

4.2 Late check-out must be arranged with the property Manager at the time of booking, and is subject to availability.

4.3 If you wish to guarantee your ability to check-out after to 11:00am you must book an additional nights stay and pay the applicable rate for that additional night.

4.4 If you have not pre-arranged a late check-out, and fail to do so by 11:00am, a charge equivalent to the full daily rate which applies to your booking will be charged.

5. Security for Damages

FIEE is a unique and pristine location. We expect that ALL guests respect the natural beauty of the island and leave it as you find it. Respect our local landmarks, do not move or deface natural assets including rocks and bushland. Keep to the island tracks, do not drive off road or push in new tracks, walk in if in doubt. Do not collect firewood, leave wood for wildlife. Where firewood is supplied; only light fires in designated areas, out of fire season – if in doubt ask. When sightseeing take your rubbish with you, dispose of rubbish in the bins provided. Use the correct fish scaling locations and dispose offal away from the front beach swimming areas. Do not move furniture or items without prior approval.

Any major damage to island property, household items, vehicles or equipment will be billed to guests.

5.1 Parties and functions are strictly prohibited, without prior approval. The price charged is for domestic use only and not commercial. Accordingly this rate does not allow for the extra wear associated with functions in terms of cleaning, garbage removal, wear and tear, repairs etc. Use contrary to this may result in additional payments. Any behaviour regarded to be disturbing the peace will result in eviction from the property.

5.2 Number of Guests should not exceed the number stated on the confirmation notice or subsequently agreed in writing or email. Fees will apply for excess guests including extra beds/linen used above that of which is required for booked number of guests. Due to the off grid location and limited rainwater, we ask guests to be considerate and only use the rooms/beds required and the towels/linen provided. Switching rooms mid stay will incurr additional guest charges.

5.3 Credit card details may be used to cover incidental items including but not limited to, late check-out, any breakages/damages, excessive cleaning charges above the normal level of cleaning due to the property being left in an unacceptable state, damages to island property, vehicles or equipment. If the property is left in an unacceptable condition, then a $500 clean up fee will be automatically deducted from your credit card, in addition to any breakage/damage fees.

5.4 Smoking indoors is strictly prohibited. Extra cleaning will be charged to your account if smoking has occurred indoors.

6. Homestead Services

6.1 FIEE is a self-catering property and therefore your booking does not include daily room servicing. For bookings exceeding 7 days servicing can be arranged for a small fee by contacting the property Manager.

7. Additional Guest Prices

7.1 In most cases, additional guest prices for accommodation refer to people occupying existing bedding.  Additional charges will apply if extra beds or linen (including rollaways, sofa beds or cots) are required.

8. Gift Certificate

8.1 FIEE Gift Certificates may only be used to pay for the accommodation portion of a booking and may not be used for other items not included in accommodation rates.

8.2 FIEE Gift Certificates are not refundable or redeemable for cash.

8.3 FIEE Gift Certificates are valid for 3 years from the date of issue.

8.4 Bookings fully or partially paid for using a FIEE Gift Certificate must be made direct with the property.

8.5 Gift Certificates provided by FIEE for fundraising purposes are unavailable for use during peak times including Christmas/New Year and Easter.

9. Use of Information

9.1 You consent and authorise FIEE to collect, use and disclose your personal information for the purposes of administering your booking and providing you with any services associated with your booking.

9.2 FIEE will not provide or disclose any information you have provided to any other person.

10. Unaccompanied Minors

10.1 All guests under the age of 18 must be accompanied by a parent, guardian or other adult who has parental rights and responsibilities for the under 18 year old guest.

10.2 If a guest is found to be a person under the age of 18 who is not accompanied by a responsible adult FIEE may immediately cancel the guest’s booking and the full booking amount will be forfeited to FIEE.

11. Release and Indemnity

11.1 To the extent permitted by the law, you agree to release and hold harmless FIEE, and its employees and agents against and from all expenses, costs, liabilities, claims, actions, proceedings, damages, judgments and losses of any kind whatsoever (including property loss/damage and damages for injury, including personal injury and death) resulting from your booking or your stay at property even if caused or contributed to by FIEE’s negligence, breach of duty or otherwise.

11.2 FIEE is not responsible for any loss arising out of any occurrences or conditions beyond its control, including but not limited to acts of terrorism, acts of God, defects in vehicles, war, strikes, theft, delay, cancellation, civil disorder, disaster, Government regulations or changes in itinerary or schedule.  All travel documents, observance of laws and government regulations are your responsibility.

11.3  IMPORTANT: We strongly suggest that you book travel insurance to cover last minute cancellations, including those listed in clause 11.2 including, for example family illness, travel disruption, extreme weather or fire events, and other unforeseen circumstances.
